Position: SHERQ ADMINISTRATOR

This role reports directly to the HSE MANAGER

Site Location: BIDVEST INTERNATIONAL LOGISTICS EAST LONDON

The Suitable candidate will meet the criteria below;

Key Performance Areas:

 

Safety & Health

 

  • Manage the full process of Injury on Duty (IOD) reporting, including incident capture, documentation, follow-up actions, and timely submissions to the Department of Employment and Labour.

 

  • Schedule, coordinate, and track all occupational medical examinations (pre-employment, annual, periodic, and exit) to ensure medical compliance across the region.

 

  • Maintain and update contractor safety files, ensuring documentation completeness before contractors commence work on-site.

 

  • Assist in conducting incident investigations, including gathering statements, analysing root causes, identifying contributing factors, and participating in corrective action planning.

 

  • Ensure site-wide compliance with the Occupational Health & Safety Act, company safety standards, safe operating procedures, and risk control measures.

 

  • Support safety campaigns, toolbox talks, and awareness initiatives to reinforce safe behavioural practices.

 

Environment

 

  • Collect, consolidate, and maintain environmental performance data for reporting on sustainability, waste streams, environmental KPIs, and compliance indicators.

 

  • Ensure all waste disposal records, manifests, and certificates of safe disposal are up to date and comply with environmental legislation.

 

  • Participate in environmental inspections and audits, preparing evidence packs and ensuring the site maintains readiness for ISO 14001 audits.

 

  • Monitor spill kits, hazardous waste areas, and environmental controls, reporting non-conformances and coordinating follow-up actions.

 

Administration

 

  • Manage document control for all SHER records including procedures, checklists, audits, incident files, training records, risk assessments, and compliance documentation.

 

  • Assist in preparing for internal and external audits (ISO 9001, ISO 14001, ISO 45001), including compiling audit evidence, tracking findings, and supporting closure.

 

  • Compile detailed monthly SHER reports, including safety statistics, environmental metrics, training activity, compliance status, and outstanding risk actions.

 

  • Coordinate SHER-related training sessions, ensuring accurate attendance registers, certificates, and training matrices are updated.

 

  • Maintain a centralised SHER filing and archiving system, ensuring ease of access, traceability, and POPIA compliance for sensitive documentation.

    Strong written and verbal communication for reporting, contractor engagement, safety briefings, and management interaction.

    Maintains consistency and compliance during audits, incidents, and urgent safety interventions.

    Identifies SHER issues, investigates root causes, and drives corrective and preventative actions.

 

  • Time Management & Discipline
    Manages deadlines for medicals, audits, training schedules, reporting cycles, and incident submissions.

Technical competency requirements:

 

  • Strong computer literacy, including MS Office (Excel, Word, PowerPoint), SharePoint, and digital document management tools.

 

  • Applied knowledge of OHS Act, COIDA, ISO 9001 / ISO 14001 / ISO 45001 requirements and SHER management systems.

 

  • Understanding of inspection tools, risk assessments, environmental monitoring, and safety documentation requirements.

 

Minimum Requirements:

  • Matric / Grade 12
  • National Diploma in Safety Management or equivalent
  • ISO 9001 / 14001 / 45001 training advantageous
  • 3–5 years’ experience in SHERQ, preferably in warehouse or logistics environments
  • Experience in safety administration, contractor management, and compliance reporting

 

ENVIRONMENTAL OR OTHER CONDITIONS:

  • Cold storage environment
  • Weekend and after-hours work may be required based on operational needs
