Position:  HR ADMINISTRATOR – HEAD OFFICE

This role reports directly to the Human Resources Executive

About the Role

The HR Administrator is responsible for providing comprehensive administrative support to the Human Resources function within Bidvest Vericon. The incumbent will ensure the effective administration of HR processes, maintain accurate employee records, support recruitment, onboarding, payroll administration, training, Employment Equity (EE), B-BBEE initiatives, and ensure compliance with company policies and South African labour legislation. The role contributes to the efficient delivery of HR services and supports the achievement of the organisation’s people objectives.
 
Key Performance Areas
 

Sales Administration and Support

    • Manage and execute all administrative functions supporting the sales team.
    • Maintain accurate, up-to-date and confidential employee records.
    • Prepare employment contracts, confirmation letters, transfer letters, promotion letters, salary adjustment letters, and other HR correspondence.
    • Coordinate the onboarding and offboarding of employees.
    • Process new appointments, resignations, retirements, terminations and employee status changes.
    • Maintain personnel files in accordance with company policies and legislative requirements.
    • Assist with payroll administration by ensuring all employee information and documentation is accurate and submitted within agreed deadlines.
    • Administer employee leave records and monitor leave balances.
    • Capture and maintain employee information on the SHIFT PEOPLE System or any Human Resources Information System (HRIS).
    • Prepare HR reports and provide administrative support for quarterly and annual HR reporting.
    • Support HR projects and initiatives as required.
    • Ensure all HR documentation is accurately filed and securely maintained.

 

Recruitment and Onboarding

  • Coordinate recruitment activities by scheduling interviews and communicating with candidates.
  • Prepare interview documentation and recruitment packs.
  • Conduct reference and qualification check where required.
  • Coordinate pre-employment processes, including medicals, criminal checks and onboarding documentation.
  • Prepare induction documentation and assist with employee orientation.
  • Maintain recruitment records and monitor recruitment progress.
  • Liaise with recruitment agencies where applicable

 

Learning and Development

    • Coordinate employee training interventions and development programmes.
    • Schedule internal and external training sessions.
    • Maintain accurate training records and attendance registers.
    • Capture training information on the HRIS.
    • Assist with the administration of Workplace Skills Plans (WSP) and Annual Training Reports (ATR), where applicable.
    • Liaise with training providers and employees regarding training arrangements.
    • Monitor the expiry of mandatory training and professional certifications.

 

Employment Equity (EE)

 

  • Support the implementation and monitoring of the company’s Employment Equity Plan.
  • Collect, update and maintain Employment Equity data and workforce profiles.
  • Assist with the preparation and submission of Employment Equity reports to the Department of Employment and Labour.
  • Coordinate Employment Equity Committee meetings and maintain meeting records.
  • Monitor Employment Equity targets and provide progress reports.
  • Ensure compliance with the Employment Equity Act and related regulations.
  • Assist with the implementation of diversity and inclusion initiatives aligned to the Employment Equity Plan.

 

B-BBEE Administration

 

  • Maintain and update B-BBEE-related records and supporting documentation.
  • Assist in gathering and verifying information required for B-BBEE verification audits.
  • Liaise with internal departments to collate B-BBEE evidence.
  • Prepare periodic reports on B-BBEE initiatives and progress.
  • Support the implementation of transformation initiatives aligned with B-BBEE objectives.
  • Maintain records relating to skills development, employment equity and other B-BBEE scorecard elements.

Sales Coordination and Scheduling

  • Schedule customer meetings, site visits, and internal sales meetings.
  • Coordinate availability between customers and the sales team.
  • Prepare agendas, infogram, and supporting material ahead of each meeting.

HR Compliance

 

  • Ensure compliance with all applicable labour legislation and HR policies.
  • Assist in maintaining and updating HR policies and procedures.
  • Monitor legislative changes affecting HR practices.

 

Employee Services

 

  • Serve as the first point of contact for employee HR-related enquiries.
  • Provide employees with HR information, forms and documentation.
  • Promote professional, confidential and customer-focused HR service delivery.
  • Support employee wellness and engagement initiatives.
  • Assist with employee communication relating to HR processes and programmes.

 

Reporting and Record Management

  • Compile monthly HR reports and dashboards.
  • Monitor employee headcount, turnover, absenteeism and leave statistics.
  • Maintain accurate electronic and manual filing systems, including the P Drive and HRIS.
  • Ensure all HR documentation is securely stored and easily retrievable.
  • Produce HR reports and statistics as requested by management.

General Administration

  • Draft correspondence on behalf of the HR Department.
  • Arrange HR meetings, interviews, training sessions and employee consultations.
  • Prepare agendas and record minutes of HR meetings where required.
  • Order and maintain HR stationery and documentation.
  • Assist with HR audits and compliance reviews.
  • Support HR projects and organisational initiatives.
  • Perform any other reasonable duties within the Human Resources function as requested by management.
