Position:  OFFICE ADMINISTRATOR

This role reports directly: HSE MANAGER

Location:  VERICON OUTSOURCING KZN REGIONAL OFFICE

 

Position Summary:

 To ensure the workplace complies with legal standards for health, safety, and environmental regulations while promoting a culture of safety among employees. The Safety Officer will implement safety programs, perform risk assessments, and provide recommendations to mitigate hazards.

Key Performance Areas:

 

Health & Safety Compliance

  • Conduct regular inspections and audits to ensure compliance with local and national safetyregulations (e.g., OSHA).
  •  Develop, implement, and monitor health and safety policies and procedures.
  • Prepare and submit safety reports to management and regulatory authorities.
  • Manage and maintain all safety-related documentation.

Risk Management

  • Identify potential hazards in the workplace and develop preventive measures.
  • Perform risk assessments and recommend corrective actions.
  • Investigate incidents, accidents, and near-misses, ensuring proper reporting and root cause analysis.

 

Administrative Support

  • Maintain accurate records of incidents, near misses, injuries, illnesses, environmental incidents, property damage incidents.
  • Timely reporting of incidents.
  • Organizing and leading safety meetings, including toolbox talks and monthly health & safety committee meetings
  • Good working knowledge of Workman’s Compensation/COID Act to be able to process IODs and liaise with Workmen’s Compensation and the Department of Labour.
  • Ensure compliance with PPE policies and monitor PPE usage among staff.
  • Support SHER Manager in preparing reports, presentations and related safety performance metrics.

Training, Development, & Medical Surveillance

  • Deliver safety training programs and toolbox talk topics to sites.
  • Ensure all employees are informed about emergency procedures and safety protocols.
  • Keep records of training and certifications for compliance purposes.
  • Coordinate medical surveillance and schedule health evaluations with external medical providers

Emergency Preparedness

  • Develop and maintain emergency response plans.
  • Organize fire drills and first-aid simulations regularly.
  • Coordinate with emergency services during critical incidents.

Monitoring & Reporting

  • Monitor workplace safety standards and recommend improvements.
  • Track and analyse safety performance metrics.
  • Stay updated on new regulations and industry standards.

Key Performance Indicators (KPIs)

  • Number of safety incidents or near-misses reported.
  • Compliance rate with safety audits and inspections.
  • Employee participation rate in safety training programs.
  • Implementation of corrective actions within specified timelines.

Minimum Requirements:

 

Education & Certifications

  • Diploma in Safety Management , Environmental Health , or a related field.
  • Safety certifications such as SAMTRAC, or equivalent would be required.
  • First Aid and Fire Safety certification are advantageous.
  • ISO Standards Knowledge: ISO 9001 (2015)
  • Drivers Licence

Experience:

  • Minimum 12 – 24 months of experience in a similar role.
  • Experience in warehousing specific safety

 

ENVIRONMENTAL OR OTHER CONDITIONS:

  • Willingness to travel to multiple sites if required.
  • Availability to work flexible hours in case of emergencies.
  • Weekend work and after hours work in an operational position might be required.
